Strengthening Student Organization Governance through Administrative Standardization

The Secretariat of the Student Executive Board (BEM) of the Faculty of Fisheries and Marine Sciences, Universitas Airlangga, plays a crucial role in maintaining the order and efficiency of organizational administration throughout its term. Incoming and outgoing letters are carefully recorded, event proposals from various departments are meticulously reviewed, and accountability reports are adjusted according to applicable regulations. Experiences during the management period revealed that without clear administrative standards, the organization often faced issues such as document submission delays, letter-writing errors, and inconsistent proposal formats. These challenges proved that administration is not merely a technical task but a fundamental pillar of successful student organization governance.

The initiative to standardize administrative procedures emerged from a series of internal discussions, comparisons with previous management periods, and input from department ministers. Detailed templates for proposals, letter formats, and accountability reports were created, each accompanied by brief instructions to ensure ease of use by every board member. A digital archiving system was also introduced to store documents systematically and allow quick data access when needed. This innovation significantly reduced inconsistencies in letter and report writing, improved coordination among departments, and fostered a culture of discipline and professionalism within the student cabinet.

The implementation of administrative standardization became a significant milestone in the organization’s management history. Verification processes became faster, technical errors decreased, and the professional image of BEM strengthened—both within the faculty and in external collaborations. The role of the secretary expanded beyond document management; it evolved into a driving force for building an effective and well-organized administrative culture. The administrative guidelines developed during this period are expected to be continuously used and improved by future cabinets to ensure smooth student activities, minimize bureaucratic obstacles, and enhance the organizational professionalism of BEM FPK UNAIR.
